This policy explains how VU Integrated Services collects, uses, discloses and protects personal information through the work order portal, consistent with the Australian Privacy Principles.
1. Information we collect
We collect account details (name, company, email, phone), property details (address, access notes, photos, compliance dates), landlord and tenant contact details you provide, and work order records including notes, documents and invoices.
2. How we use it
Information is used to schedule and deliver maintenance and compliance services, contact the right people about a job, issue invoices, send reminders and notifications, and maintain accurate service records.
3. Disclosure
We disclose information only as needed to deliver services — for example to the tradesperson attending a property — or where required by law. We do not sell personal information.
4. Service providers
The Portal relies on third-party providers for hosting, database storage, email delivery and messaging. These providers process data on our behalf under their own security obligations.
5. Security and access
Access is controlled by account role: property managers can see only their own properties and work orders, while VU Integrated Services administrators can see all records. Internal notes and completion documents are restricted to administrators.
6. Retention
Work order, compliance and invoice records are retained as long as needed for business, legal and compliance purposes, then securely deleted or de-identified.
7. Your rights
You can request access to, or correction of, the personal information we hold about you. Contact us and we will respond within a reasonable time.
